This policy explains how FTV London Ltd ("we", "us"), operator of Apex Billing UK, handles personal data. We are the data controller for the account information you give us, and we comply with the UK GDPR and the Data Protection Act 2018.

1. Data we collect

• Account data — your name, company name, email address and password (stored hashed).
• Billing data — plan and payment status. Card payments are handled by our payment provider (Stripe); we do not store full card numbers.
• Content you enter — supplier details, invoices, VAT numbers and related records you create in the app.
• Technical data — basic log data (such as IP address and browser) needed to run and secure the Service.

2. How we use it

• To provide the Service — creating and sending invoices, statements and remittances.
• To manage your subscription and take payment.
• To secure the Service and prevent misuse.
• To contact you about your account and important service notices.

3. Legal bases

We process data to perform our contract with you (providing the Service), to meet legal obligations (such as tax and accounting records), and for our legitimate interests in running and securing the platform.

4. Sharing

We share data only with service providers who help us run the Service — for example our hosting provider, our email delivery provider (SMTP2GO) and our payment provider (Stripe) — and where required by law. We do not sell your data. When you send an invoice or statement to a supplier, that document and its contents are sent to the address you specify.

5. Storage & security

Data is stored on secure servers in the UK/EU. We use encryption in transit, hashed passwords and access controls. No system is completely secure, but we take reasonable steps to protect your data.

6. Retention

We keep account and invoice data for as long as your account is active and for as long afterwards as needed to meet legal, tax and accounting obligations. You can ask us to delete data that we are not required to keep.

7. Your rights

Under UK GDPR you have the right to access, correct, delete or restrict use of your personal data, to object to processing, and to data portability. To exercise any of these, email us. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
